Welcome to the sixth and final Writing Educator’s Symposium Email Update. Please see below for last minute tips and information on the following:

1. My Cell Phone Number: <number removed>
(Please do NOT call me at this number before Sunday 9AM Eastern Time.)

I know last minute things come up, so if you have questions or challenges and need to get a hold of me, here is the direct line. However, prior to Sunday 9AM, please continue to useemail if at all possible, and I will respond as soon as I am able. These next few days find me at a conference in Texas and unavailable to take your calls.


2.  What to Expect When You Arrive on Campus
If you are driving onto campus, you may see a Writing Educator’s Symposium sign that says PARK HERE near Wait Chapel.  That’s where you will park after you have unloaded your car.  However, you will first want to drive to Luter Hall (look for a sign that says “Check In”), where you will meet Denise to pick up your name tag, campus permit, swipe card for meals, and room key. Note that the swipe card for meals will not work prior to dinner on Monday at6:00PM. After dropping off your belongs in your room, you will park your car and proceed to the Magnolia Room which is in Reynolda Hall. (Look for a sign that says “Welcome.”) Here is where you will meet me, pick up your conference handouts, pay any fees you may still owe for WES (Solo room, Sunday evening stay, shuttle). For your convenience, I’ve attached a campus map. Although we are NOT serving lunch on Monday, we will have light refreshments for you between 12:30-2:00pm.  Reynolda Hall is where we will also have our IEW bookstore.  Our plenary session begins at 2:30.  Please note that we are video recording all plenary sessions, so please be discrete if you have to enter the room late.


3. Note to Sunday Arrivals
If you are arriving on campus on Sunday, please check in at Luter Hall.  Please note that you must be on campus before 10PM to pick up your campus pass. Once you have a campus pass you may come and go as you please on campus. While meals are available to you in the cafeteria, they are on “your dime.” We will have campus passes for those of you who are arriving on the shuttle after 10PM on Sunday
(shuttle driver will provide them).

4.  Bring an Umbrella
Did you peek at what the weather will be like in Winston-Salem next week? Besides being hot and humid, it looks like we may have a shower or two. Although this may dampen the campus, I trust that a bit of rain will not dampen our spirits!  While most of our activities are in close proximity, you may get wet as you walk from building to building.  Be prepared. :)


5. Shuttle Email Sent
I have sent an email to everyone I have listed as needing shuttle service that details when the shuttle will be picking you up and where.  If you did not get an email, please let me know ASAP!  I would HATE to leave anyone at the airport unnecessarily.

6. 4 days!
My count-down calendar tells me it will be just four days until we see one another, three for the 35 of you arriving on campus on Sunday.  We eagerly await your arrival!

Hello Fellow Writing Educators,

With only 12 days between now and when we see one another, I’m sure some of you are asking really practical questions such as, “What shall I bring? What do I wear? Where can I park my car?”

1. Packing List and Dress Code: The key words for what to pack are cool, comfortable, and casual.
As you may have heard or know first hand, NC weather in July is generally hot and humid. Of course, all of our sessions will be in air conditioned buildings, so you may want to throw in a sweater or sweatshirt with your shorts, shirts, blouses, etc. Bring your swim suit and workout clothes if you plan to make use of the fitness center. Bring your wish-list and checkbook (or cash/credit card) if you want to pick up a few items at the IEW bookstore. Bring your show and tell items for Monday night’s event. Bring a snack to share (optional) for late night munching. If you wish, you may bring your laptop computer as WiFi will be available. You may bring your favorite pillow, but know that bedding and towels are provided. Bring your blow dryer and other toiletries as needed. Bring your clothing iron if you must as the university does not have one for you. And, of course, we are coming together to learn from each other, so bring pens and paper to take notes, and know you will be given a notebook of handouts. I think that’s all the details you need. Let me know if you have any specific questions.

2. Roommate Assignments and Corrections

If we have assigned you a roommate when you requested to have a solo room, please let us know. If you are showing up on Sunday but we have you listed on Monday, that would be good to know as well. (NOTE: Please know that those driving to WES on Sunday night must be on campus by 10PM.) In fact, if you have any questions about rooms and such, please let denisek@excellenceinwriting.com or me know ASAP so we can make the necessary changes.

3. Those Confirmed for the Shuttle, Please Verify
These 31 individuals will be contacted about shuttle details. If you are not on this list and should be, please let me know ASAP so we don’t leave you at the airport! (List has been removed. If you are enrolled and did not receive this list.)

4. Campus Map and Where to Park

On this map you see that you arrive at Luter Hall to pick up your campus pass and parking permit. You will park your car near the chapel. Our workshops will be in Benson University Center. Although our meals will be in the cafeteria in Reynalda Hall, there are other places on campus to grab a bite or drink including Starbucks and Subway.

5. Monday Night Activities – Show and Tell and Guest Speaker
We are all writing educators or aspire to be. True? Of course we have many presenters, but I know many of you who are NOT formal presenters have some nuggets of wisdom to share with us all. Perhaps you have found some keys to unlock the door of special education students. Perhaps you want to show some work samples that show the effectiveness of structure and style methods. Perhaps you have a laptop with PowerPoint or video that can adequately convey your unique approach. If so, bring it! We will have tables set up for just such a purpose. 13 of you have agreed to show us what you’re up to. 36 of you are on the fence. I’m hoping at least a few of those 36 will find room in their suitcases and in their hearts to share with us some of their gems. BTW – I am bringing show and tell: It’s a new friend I made while visiting the Portland area. I’ve invited him to fly in for the day and share what he is up to, and he said YES! I can’t wait for you to meet him and find out how he is employing methods of communication in a way that will likely surprise and inspire you.

6. Tuesday Night Activities – Speaker Potpourri & Book Signing
On Tuesday night, we swing wide the doors to the community and invite anyone and everyone to attend–well, as many as the room will hold that is! This is the notice that went out to the community earlier today:

Join the Writing Educator’s Symposium for one free night! Each of the following five speakers will briefly share their most significant message or interesting anecdote to inspire you toward excellent educational pursuits for you and your children. Hear from: Andrew Pudewa, James B. Webster, PhD., Andrew Kern, Adam Andrews, and Lee Roddy. These and other IEW authors will be available to dispense advice and autograph their books.

We will have IEW products as well as a few others available for purchase. Bookstore hours: 6:30-7:30 and 9:00-10:00PM

For those of you who are unable to travel, we do have plans to attempt to make this available via live video stream webinar.

7. Wednesday Night Activity – Round Table Discussion Groups
Are you a school teacher and want to chat with others like you who are successfully implementing IEW in their classrooms? Do you teach ESL or Special Ed students? Do you want to talk to others who are teaching adult learners? Do you want to learn more about the IEW accreditation program? Do you want to brainstorm with others in how to manage or market your co-op classes? Are there other topics you would like to discuss? This will be an opportunity for you to have these discussions with those who have gone down these roads, including you! And because some of the best brainstorming sessions happen with a cup of coffee or tea in hand, we’ll have these beverages available to you at this event as well.

8. Continuing Education Units and Certificates
We have many school teachers who are attending WES and benefit from the opportunity to earn CEUs. Because this conference offers more than 20 hours of instruction, we are able to grant 2 CEUs at a cost of $30 per CEU through our partnership with Morningside College in Iowa. If you would like, we can also provide to you at no charge a certificate of completion that says you attended the event. If you are requesting the first option, please bring a check made payable to Morningside College for the appropriate amount. These certificates will be issued at the plenary session on Thursday AM.

9. Last Email Update To Be Sent on July 21
In my next email, I will give you my cell phone number so if you have any last minute questions as you are traveling to the event, you can get a hold of me. I will also let you know what you can expect when you arrive on campus.

1.  WES Survey Part Two – Update
In my last email update, I included a link to a second survey that asks a few more basic questions that will help us better prepare for your arrival.  I’m pleased to report that 98 of you took the survey. (72%) However, I am still waiting to hear from 28 of you.  If you have not done so, can you please take this survey now, or as soon as you have firmed up your travel plans?  This will help us know the answers to important questions such as: “Do you need a bed to sleep in on Sunday night?”  Or “Are you expecting a shuttle to pick you up at the airport?”

2.  Shuttle Schedule and Alternatives
We are fortunate to have a few IEW husbands who have agreed to be our shuttle drivers.  This allows us to save you money and allows for a higher degree of flexibility.  (Last WES we had only ONE pick up time!  This time we will have SIX!) For those of you who are taking the shuttle, you will be emailed separately with the cell phone numbers, car descriptions, etc. for your driver.  For now, here is who I have listed as needing shuttle service on either Sunday or Monday.  Please let me know ASAP if there are additions or corrections.  (Thursday shuttle service can be confirmed at the conference)  If you are interested in other options of getting to and from the airport, please see information on this webpage: http://www.wfu.edu/visitors/directions/

3. Amenities, Including Linens
Some of you have asked if it is necessary to bring sheets for your bed or towels for your backs.  Good news: Each participant is provided one set of bed linens and one set of towels for his/her stay.  Our dorm hall is not a hotel (bring your own soaps and blow dryer). Neither is it a wilderness experience!  Pillows and blankets are provided.  We will be the only group staying in Luter Hall, so we have access to the common lounges and kitchens for midnight socializing and snacking. Also, for those of you bringing laptops, free WiFi will be available to you.   Please see http://www.wfu.edu/housing/residence/luter.html for more information.  Our next email will include a protected link to view roommate assignments.

4. Sessions Recorded
Because we have so many great workshop selections, and because we have not yet figured out how to be in two places at once (if you have, please let me know!) we are recording the sessions either via video or audio.  You may pre-purchase these recordings at the event for a discounted price or on our website in September 2010.

5. Book Store Information
It’s true! We will have the IEW bookstore for your shopping enjoyment which will be open during breaks between sessions and before the evening sessions.  Not only we will have a full line of IEW products on hand, we will also have several books by Lee Roddy, Andrew Kern, and Adam Andrews.

6. Meet Our Team
I’m pleased to let you peek behind the curtain just a bit to let you know who is helping me put this event together.  Along with the incredibly helpful conference staff at Wake Forest University, I’m delighted to have help from Laura House who will be overseeing the book store, Cameron Covey who is our AV and tech guy, Denise Kelley who is helping me with the finer points like room assignments (be nice to her!), and of course, Andrew Pudewa as our gracious host who provides guidance and support.  We are looking forward to meeting you!

7. Next Email Update
In my next email update, I’ll share a map with you called IEW’s Writing Educator’s Symposium 2010: <link removed>
(oops, guess I just shared it now! But note that it is still a work in progress). I’ll tell you more about the CEUs and how those who have requested this documentation will receive the certificates. I’ll give you more details about the evening sessions including Monday’s show and tell night/guest speaker, Tuesday’s open house, and Wednesday’s round-table discussions. I hope to have our tentative schedule finalized,. And I’ll let you know how the room assignments are going.

1.  WES 2010 Part 2:  Please respond when your travel arrangements are confirmed
A huge thank you to the 127 who have responded to our first survey! Only 9 have not yet responded.  However, I regret to inform you that I need you to take another survey. (I can hear you groaning from here!) I promise it will be short, and it will help us know things like whether you really need the shuttle and how your name tag should read.  Short and sweet, I promise!

2.    More About Our Accommodations
While there are several groups which will be staying on campus at Wake Forest University in Winston-Salem, NC, we have been assigned to rooms in the Luter Residence Hall.  You can see more about this hall here: http://www.wfu.edu/housing/residence/luter.html  If you’re really interested in complete information, you can download the floor plans here: http://www.wfu.edu/housing/residence/luter-floorplans.html  Most of our rooms are 2-bedroom suites with two people assigned to each room and sharing a common bathroom between the two.  All rooms have twin beds. Those who have requested a solo room will have a bathroom just a short jaunt down the hall.  While Wake-Forest is technically not a “smoke free campus,” there is no smoking allowed in any building.  Note that when you arrive on campus to check in, you will check in at Luter Residence Hall.  Note the topic clincher. :)

3.   Dining Options
While there are many places on campus to eat including a Starbucks and Subway(!), your WES fees include meals at the Fresh Food Company in Reynolds Hall.  See http://www.campusdish.com/en-US/CSSE/WakeForest/Locations/menuFreshFoodCompany.htm for sample menus.   Many of you have dietary restrictions.  Trust me, these guys and gals at Wake Forest are eager to please and have selections for all. Let me know if you fall in this category so I can let them know of your food allergy or preference.  We will have WES tables reserved for our group in the cafeteria so that learning and networking can happen both in and out of sessions.

We currently have 129 writing educators coming to Wake Forest University on July 26-29, including guests, speakers, and staff.  Are your friends counted in that number?  Please invite them!  What I mentioned last week is worth repeating: you help them save $50 if you give them the promotional code WESFRIEND to register online!  This offer expires July 16, which gives us time to plan for their arrival.

2.    Arrival Time: Please Respond

Our conference starts on Monday, July 26 at 12:30PM with registration, a light reception, and a time to meet and mingle. So, what time do YOU plan to arrive?  If you are arriving on Sunday, would you like accommodations at WFU?  The cost is $50 per person and does not include meals. Can you please respond to this email and let me know if you need to stay this extra night?  We will collect any fees associated with this service when you check in on Monday, July 26.  Just so you can plan accordingly, the first seminar is at 2:30PM, and our first meal together will be dinner at 6PM. Wake Forest University is located in the city of Winston-Salem, North Carolina.  Believe it or not, there is a town in North Carolina named Wake Forest, but it is two hours from the campus. I’m not sure what is happening there July 26-29, but I hope you will not be there to find out!

WES Enrollment as of June 16: In addition to 18 speakers and staff, we have 110 registered participants from all across the US and even as far away as Australia, Moscow (Russia), and Israel!

The Countdown: 40 days until we see one another at Wake Forest University, Winston-Salem, North Carolina

As many of you know, June 15th was our early bird price expiration date. I know all of you worked hard to get your registration in on time so you could save $100. Congratulations! 2. Check Out the WES Website
I hope you are checking out the www.writingeducatorssymposium.com website as well so that you can be sure you have the latest information. Here we are posting answers to frequently asked questions, updates to the schedule, tips and tricks for travel, etc. We will also be posting these weekly email updates.

3. Roommates and Other Special Requests Honored
Many of you have requested to be in a room with your friend, spouse, or even by yourself. We are able to honor all requests at this time. There is an additional $75 charge if you are in a single room. These fees will be collected at the Symposium when you check in.  Those who have not made special requests will be placed with other attendees. The rooms are apartment style with bedrooms which sleep two and have a shared living room and bathroom. One set of linens is provided for each guest. (I’ll send more information about Wake Forest University next week) Of course, meals and housing are included in the Symposium fees.

4. Survey Monkey Information
Because hosting an event for over 100 (maybe 200!) guests can be a bit complicated, we are asking you to complete a survey that will better help us prepare for your arrival. Of the 128 attendees, including speakers and helpers, 98 have completed the survey.  If you have not yet done so, I would be so grateful if you too would complete the survey. Just go to <enrolled participants, please contact me for this link> (Please do not complete the survey more than once!) If you have completed the survey and need to update your traveling information (flight, airport, etc) please simply email me your itinerary.

5. Transportation
For those of you who expressed interest in reserving a place on the shuttle from GSO, CLT, or RDU I will have more information for you on June 30th, including pick up times for this service. At that time I will also have information for those of you who are driving to the campus, including directions and where to park.

6. Update Schedule
While we continue to make slight adjustments to the schedule, you may view and download the most current version here: http://www.writingeducatorssymposium.com/handouts/wes-2010/wes-2010-schedule. Also, on Monday evening we have a Welcome Reception, Show and Tell Display Tables event scheduled. This is an opportunity for you to bring some of your materials that you have created or used for teaching so you can share your ideas with other WES participants. I hope you can find some room in your suitcase to bring along some of your favorite visual aids. If you have any questions about this, feel free to ask. Many of our speakers will also be present at this event, so you will have an opportunity to meet and mingle with them. In fact, we hope that you will find the schedule to be conducive to much networking and the sharing of powerful ideas with all present!

I will be sending out an email every week for the next few weeks, updating you on some of the details mentioned above, and a few more. The last time we had this event, some of our participants noted that my emails were trapped in their SPAM folders.  So if you don’t hear from me every week, please check in with me so we can be sure you’re getting all the information you need to make this event refreshing and relaxing.

Writing Educator’s Symposium
Winston-Salem, North Carolina
July 26–29, 2010

Taking place on the pastoral campus of Wake Forest University, this event will be a relaxing and refreshing time for all. Consider this superb line-up of speakers:

• Andrew Pudewa will be presenting a full Teaching Writing: Structure and Style seminar as well as many other workshops.
• Dr. James B. Webster will be bringing his wit, his humor, and his personal Magnum Opus—a gift for all participants.
• Adam Andrews, creator of Teaching the Classics, and Andrew Kern, author of the Lost Tools of Writing, will share their insights into the classical approach for teaching writing and literature.
• Lee Roddy will join us and will unveil his latest work, The Novel Writer’s Guide to Success, a sequel to his popular resource, How to Write a Story.
• IEW Accomplished Instructor Jill Pike will be sharing ideas for teaching primary level students (K–2) in preparation for IEW writing.
